Measures against COVID-19 and Requests to the Participants and Other Related Parties

For the success of the event with protected health and safety, we would like to request all the participants and related parties who are planning to physically visit the venue to check the following infection prevention measures. We appreciate your understanding and cooperation.

Before the Event

Before coming to the venue, the following measures are implemented.

Request for vaccine certificate submission and antigen test  UPDATED

Due to the relaxation of immigration restrictions from June 1, 2022, vaccine certificates and PCR tests at the time of entering Japan are no longer required (PCR test within 72 hours before arriving Japan is required). The IIW2022 has decided to revise the measures against COVID-19 to enter the venue as follows.

* The type of vaccine is limited to the specified in “Vaccine Certificate for Quaranatine” by Japanese government.

To submit the vaccine certification data, we are working on setting up the data upload system. Details will be announced when the system is ready.

Details of the antigen test will be announced to the relevant person later.

If the antigen test result turns out “positive,” the participants are not allowed to enter the venue.

During the Event

We will implement the following measures to prevent infections.

Measures at the venue

  • The seat arrangement
    The layout will be designed with sufficient distance between participants and avoiding crowds.
  • Disinfections
    Panels to prevent splashing will be installed on the podium, chairperson's seat, and discussion seat in each lecture room. We also regularly disinfect equipment such as microphones.
  • Measures for meals at the social events and lunches
    Meals will be provided in packages or boxes. At the dinner, the dedicated staff will provide the food and drinks to the participants. (If participants choose and pick up each food by themselves, each food will be wrapped in packages. The food will not be directly picked such as in the buffet.)
    In addition, some tables will be installed with panels between the seats to prevent splashes. If you wish, you can select to sit at the table with the panels.
    Please dine quietly and wear a mask after you finish your meal.
  • Ventilation
    The venue will be maximally ventilated by air conditioning equipment.

Requests at the Entrance

At the entrance, we ask all participants for the followings:

  1. Checking of the body temperature
    The body temperature will be measured at the entrance of the venue. Everybody entering the venue will be measured, including the participants, exhibitors, organizers, and staffs. If a fever of 37.5 degrees or higher is confirmed, his/her admission will be refused.
  2. Disinfection of hands
    Alcohol disinfectant will be installed at the entrance of the venue and each room. Please also disinfect your hands before the presentation by the alcohol disinfectant in each room. Also, please wash your hands frequently.
  3. Wearing of Masks
    Please wear a mask at the venue.

Do not attend the conference if you:

  • have a fever of 37.5 degrees or higher, cough, sore throat, fatigue, or dyspnea.
  • turns out to be a close contact person with the infected with COVID-19.
  • have abnormal sense of taste or smell.
  • have visited the countries / regions where the infection keeps spreading, within the past 14 days.
  • have had close contact with travelers or residents from the countries or regions with immigration restrictions, within the past 14 days.

Others

Even when you are away from the venue, please keep taking the measures against infections, such as avoiding eating among a large number of people). Please note and accept in advance that in the case that infections had turns out, personal information will be disclosed at the request of government agencies and local governments for the purpose of identifying the infection route and others.
